You started with you and a helper. Now there are four of you, the company login is saved on three phones, and the roster lives in your contacts app and your head. Okason is landscaping crew management software for that exact stage: every person gets their own **Employee** record and their own login, people ride in named **Crews**, and jobs go to a crew. The shared-password setup breaks the first time someone quits and you have to change one password everybody uses. It breaks again when a new guy shows up Monday and you spend his first hour making him an account.

Get a new hire into the app before their first day

You add the person. They make their own account. You never touch a password.

Adding an employee takes First Name, Last Name, Email, Phone Number and a Role — Manager or Crew Member. Job Title, Hourly Rate and a Work Schedule of day checkboxes with start and end times are optional.

Click Save & Send Invite and Okason creates the record with the status Invited and emails that person a 6-character invite code plus a link to download the app.

They open the app, tap “Have an invite code?”, type the code, see your company name and their role read back to them, and set their own password. Status flips from Invited to Active and you get a push notification. Tap it and you land on their profile.

When a code expires

The code expires seven days after it’s sent. If it lapses, or it landed in a spam folder, open the profile, look at the Invite Status panel, and click Resend Invite — a new code goes out and the old one stops working. You never delete and re-add someone just to reissue a code.

Nobody shares a login

One password on four phones is not a roster. It’s a liability you notice the week someone leaves.

An Employee record and a User account are two separate things in Okason. The record can exist before that person has ever logged in — that’s what makes invite-based onboarding work — and the account they create carries their own credentials and their own role.

Signing up without a code creates a brand-new company, so an invite code is how somebody joins yours.

When someone leaves

Open their profile and click Deactivate. Their app access ends, they come off their crew, and their history stays in your records. If they’re holding equipment, Okason lists the outstanding items first and makes you confirm. If they’re a crew lead, it asks you to name the replacement lead before it lets the deactivation through.

Assign jobs to crew members: the crew is the unit of work

You don’t send a person to a job. You send a truck with two guys in it. Okason works the same way.

A Crew has a Crew Name, a designated Crew Lead, and one or more members, plus an optional color, Default Vehicle and Service Area. Jobs are assigned to the crew, and every member of that crew sees the crew’s jobs on their schedule.

The crew’s color is how those jobs show up on the Schedule calendar, so a lopsided week is visible without opening anything.

One person belongs to one crew at a time. Add them to a new crew and Okason confirms that the move takes them off the old one — then it’s done immediately, and they see the new crew’s jobs the next time their schedule loads from the server.

Mid-season rebalancing happens from Crew Detail: open the crew, edit the member list, uncheck here, check there. Owners and Managers can both do it.

Three roles, so a crew lead gets access without seeing payroll

Most tools in this market give you two access levels: full admin, or a limited login that can barely do anything. Yardbook is exactly that — Admin and Limited. So your best crew lead either sees your books or can’t run his own day.

Okason has three fixed roles:

  • Owner — everything. All crews, financials, customers, reports, billing and subscription settings. One per company.
  • Manager — sees every crew and every employee company-wide, creates estimates and invoices, assigns jobs, creates and edits crews, and moves people between them. Cannot see billing or subscription settings, and cannot see anybody’s hourly rate.
  • Crew Member — sees their assigned jobs and their own crew, and updates job status with photos and notes. No financials, no other crews, no estimates or invoices, no employee management.

Hourly Rate is visible to the Owner only. Not to Managers, not to the person themselves. It exists so labor can be costed against work, not so it gets discussed on the truck — see how much to pay landscaping employees per hour for the numbers behind it.

Controls a role doesn’t hold are absent, not greyed out — a Manager sees no ”+ Add Employee” button and no “Deactivate” action, because adding, deactivating and issuing invites are Owner-only. There are no custom roles to design. The money side a Manager touches: estimates and invoicing.


Landscaping crew tracking software: a roster you can read

The Employee List shows every person’s Full Name, Role badge, crew name or “Unassigned”, and a status dot — green Active, yellow Invited, gray Deactivated. Search it, or filter by Status and Role, on web or on your phone.

Above the list: stat cards for Total Employees, Active and Pending Invites, plus a chip showing billing seats used against your seat cap, labeled “Seats include you (the owner).” So you know before you hire whether you have room. Plan limits are on the pricing page.

The Employee Profile carries Contact Information, Employment Details, Invite Status while they’re pending, Equipment on Crew Pro, and an Activity Summary.

Crew Pro also stores a Chemical License number and expiration date — the one compliance field most spray operations need somewhere other than a glovebox.


A lawn care crew app you can use from the truck

Hiring rarely happens at a desk. It happens at a job site, on a Thursday, because somebody’s cousin can run a trimmer.

On mobile, Add Employee has a device contact picker: choose the person from your phone’s contacts and their name, phone and email fill themselves in. Pick the role, send the invite, get back to work.

On their profile, tapping the phone number opens your dialer and tapping the email opens your mail app.

How it works

  1. Click Employees in the sidebar's TEAM section to open the Employee List.

  2. Click + Add Employee. A slide-out panel opens.

  3. Enter First Name, Last Name, Email, Phone Number and Role, plus any optional Job Title, Hourly Rate or Work Schedule. Click Save & Send Invite.

  4. Okason creates the record as Invited, generates a 6-character alphanumeric code, and emails it with an app download link. The person appears in the list with a yellow dot and crew "Unassigned."

  5. They download the app, tap "Have an invite code?", enter the code, confirm the company and role shown back to them, and set a password. Status flips to Active and you get a push notification.

  6. If the code expired or never arrived, open their profile and click Resend Invite. A new code is issued and the old one dies.

  7. Click the Crews tab, then + Create Crew.

  8. Enter a Crew Name, pick a Crew Lead, check the members, and optionally set a color, Default Vehicle and Service Area. Click Save.

  9. From the Schedule screen, assign jobs to that crew. Every member of the crew sees them.

  10. To move someone later, open the crew from the Crew List and edit its member list.

  11. To cut off access, open the profile and click Deactivate. Outstanding equipment is listed first; historical records are preserved.

Frequently asked questions

Adoption depends on how little you ask of them. Okason asks for one thing: enter a 6-character code once and set a password. After that a Crew Member opens the app and sees their crew's jobs — no dashboard, no reports, no financials, nothing to navigate past. They still need their phone and a connection. Those are real constraints, and no app removes them.
